Do not write the discussion opinions directly into decisions
When AI organizes meeting minutes, it is easy to write "can be considered" as "already arranged". Therefore, the client should first explain the purpose of the minutes and the available information, and then organize the discussion points, confirmed decisions and follow-up actions separately. It is also necessary to check the relevant processing conditions before using the recording.
Keep evidence for action items
For each action, at least record the task, the person responsible, whether the deadline is determined, and the original recording location. If there is no clear time in the original words, leave "to be confirmed" and do not let the model guess a date based on the context; do not automatically assign it when the person responsible is not clear. Where multiple people disagree, the differences are listed separately and handed over to the participants for confirmation.
AI can be used to generate a draft of the structure, and then the recorder will compare important decisions one by one, and finally send it to the appropriate person for review. Publishing externally, modifying the project plan, or creating tasks are follow-up actions and should be confirmed separately from the generation of minutes. The n8n manual intervention document can be used as the technical background for confirmation before action. The specific work arrangement is recommended by ChinaOPC.
How to judge whether organization is useful
Observe whether participants can understand the next step based on this and whether they still need to review the entire recording. Deliverables should include version dates and confirmation status, leaving things undetermined rather than having every box answered. Further reading: Audio Index Project.
